Most filter cartridge manufacturers rate their cartridges by volume or by calendar time, whichever comes first. The volume rating depends heavily on the cartridge model and the water hardness in your area. Smaller cartridges designed for lower-volume machines might be rated at a few hundred gallons; larger commercial units can handle several thousand gallons before they’re spent. Calendar limits vary too, but most reputable brands (BWT, Everpure/Pentair) recommend replacing no later than 12 months from installation regardless of volume used. The calendar limit exists because even a low-volume filter can harbor bacterial growth in spent resin if it sits wet for months. So a cartridge that’s been in place for 12 months, even if you’ve only pulled a modest volume through it, should still come out.
My rule of thumb for cafe operators: track both, change on whichever triggers first. If your filter housing has a flow meter, use it. If it doesn’t, estimate from your shot volume and flush cycles, then mark a date on the housing with a marker when you install a new one.
What actually happens when you run a cartridge past its limit
Nothing dramatic at first. You might notice a very gradual change in espresso taste, a slight shift toward flat or chalky. Most operators attribute that to grind or roast variation and chase their tail adjusting the recipe.
Meanwhile, scale is building up in the boiler and on the heating element. Scale is a poor conductor of heat, so the heating element has to work harder to maintain temperature. This shortens its lifespan and can eventually cause it to fail outright.
Scale deposits also collect on the group head gaskets and screens, and inside the solenoid valves. The solenoid issue is one of the more annoying ones: a partially scaled valve won’t close cleanly, which causes pressure drops and drips after extraction. That valve is a relatively inexpensive part, but labor to access it on a commercial machine is not.
Over a longer period, scale buildup inside the boiler can become significant enough that descaling alone won’t fix it. At that point you’re looking at boiler replacement or rebuild. That’s an expensive outcome for a problem that costs almost nothing to prevent.
How to track cartridge life without guessing
Most commercial filter systems, brands like Everpure, BWT, Pentair, come with a rated capacity printed on the cartridge housing, usually in gallons or liters. Some systems have a mechanical or digital flow meter you reset at installation. If yours doesn’t, here’s a simple back-of-envelope method:
- A standard single espresso shot uses roughly 1 oz of water. A double is around 2 oz.
- Steaming milk for a 12 oz drink uses somewhere in the range of 6 to 10 oz of water.
- Add your daily backflush and rinse cycles.
If you’re pulling 200 drinks and steaming for most of them, plus backflushes and rinses, you might be moving 10 to 15 gallons per day through the machine depending on your menu mix. Do the math against your cartridge’s rated capacity and set a reminder accordingly. Check the cartridge spec sheet, not a generic rule, because capacities vary a lot across models.
The water hardness variable
All of this assumes average water hardness. The Bay Area’s municipal water varies quite a bit depending on which district you’re in and the season. San Francisco water, sourced from Hetch Hetchy, is very soft. Parts of the East Bay can be moderately harder.
If you’re on harder water, cartridges saturate faster and you may need to change them more frequently than the rated volume suggests. If you’re seeing scale deposits forming on portafilters or around group head gaskets after a few weeks of normal use, that’s a signal your filter isn’t keeping up, whether because the cartridge is past its limit or because your water is harder than what the cartridge is rated for.
DIY-safe versus leave-it-alone
Changing a filter cartridge is completely DIY-safe. Shut off the water supply to the machine, relieve pressure from the filter housing (there’s usually a button on the head), swap the cartridge, reset the flow meter if you have one, restore water, and check for drips at the housing. That’s it.
What’s not DIY territory is anything downstream of a neglected filter. Descaling a commercial boiler, replacing solenoid valves, or dealing with scaled group head components involves disassembly, correct descaling chemistry at the right concentration, proper rinse cycles, and sometimes replacement of parts that didn’t survive. Getting it wrong can damage seals or leave chemical residue in the water path.
When to call a technician
If you’re not sure how long the last cartridge was in there, or you took over a machine without service records, it’s worth having a tech assess the boiler scale situation before you just pop in a new cartridge and assume everything is fine. A visual inspection of the group head and a few diagnostic checks can tell you whether you’re starting clean or catching up.
Same if you’re seeing symptoms: inconsistent temperatures, pressure that drops mid-shot, solenoids dripping between extractions, or anything that changed gradually and you can’t trace to grind or recipe.
