In the Bay Area, most commercial espresso machines can go 3 to 6 months between steam boiler descales. Bay Area municipal water (SFPUC, EBMUD) is actually relatively soft compared to many other California regions, which works in your favor. If you have no filtration at all, lean toward the shorter end of that range. If you have a softener or reverse-osmosis system inline, you might stretch closer to 6 months or beyond. The honest answer: watch your machine, not just the calendar.
What Scale Actually Does to a Steam Boiler
Scale is calcium and magnesium carbonate that precipitates out of water when it heats up. It’s not dangerous to drink, but it’s damaging to equipment. It builds up on heating elements, probe surfaces, and inside boiler walls.
The practical effects are progressive. First, the boiler takes longer to recover because the scale layer insulates the element from the water. Then energy use climbs as the element works harder to hit set temperature. Eventually, a thick enough crust can cause hot spots on the element that lead to premature failure. In group heads fed from a steam boiler (on single-boiler machines), scale also accumulates in the solenoid valve seats and the heat exchanger passages.
On dual-boiler machines like a La Marzocco or a Synesso, the steam boiler runs hotter than the brew boiler, which accelerates scale formation on the steam side. It’s one reason the steam boiler almost always needs more frequent attention than the brew side.
Signs Your Steam Boiler Needs Descaling Now
The calendar is a starting point. These are the signs that move it from “soon” to “this week”:
Steam pressure is sluggish or inconsistent. If the boiler is taking longer to reach operating pressure after a busy rush, or the pressure gauge is wandering, scale on the element is a likely culprit.
Steam wand output has dropped. Less steam volume or wetter-than-usual steam can point to a partially obstructed steam valve or a boiler that’s losing thermal efficiency.
The heating element is cycling more often. Most machines with a PID will show this indirectly through shorter intervals between heating cycles during idle periods.
Visible buildup at the sight glass or drain. If you see white or gray crust at the boiler sight glass (if your machine has one) or around the steam arm base, there’s almost certainly more inside.
None of these are definitive on their own, because similar symptoms can come from a failing pressure stat, a dirty solenoid, or a worn steam valve. But scale is the first thing to rule out because it’s the most common cause and the most preventable.
The Descale Procedure: What’s DIY-Safe and What Isn’t
For most commercial single-group machines, a trained barista with the right descaler and the manufacturer’s procedure can handle a basic descale without calling a tech. The steps are roughly: power down to standby, run descaling solution through the boiler according to the dilution ratio on the product label, flush thoroughly, and check the steam output before putting the machine back into service. Urnex Dezcal and similar citric-acid-based products are standard. Do not use acetic acid (plain white vinegar) on commercial equipment. It can degrade rubber gaskets and seals over time, leaves residue and aftertaste that’s difficult to fully flush out, and citric-acid products designed for commercial use are a better choice for the materials involved.
That said, there are situations where you stop and call a technician.
If you open the steam wand after descaling and the output is still low, the solenoid valve seat may need cleaning or replacement. That’s a parts job.
If the machine has a water level probe in the boiler (common on many commercial machines including Faema and Franke units), check that it’s clean and making solid contact after a heavy descale. Chunks of dislodged scale can foul the probe and affect the boiler’s auto-fill behavior.
If you pull the element and it looks pitted or has dark spots, replace it. Descaling a damaged element is temporary at best.
And if the machine hasn’t been descaled in over a year, I’d recommend having a tech do the first descale. Heavy deposits can dislodge in chunks and clog valve seats or the boiler fill line. A slow, supervised descale with a lower concentration and multiple passes is safer than one aggressive flush.
How Often Is “Often Enough”
A few practical benchmarks based on what we see in the field:
High-volume cafe, no water treatment: Every 6 to 10 weeks during peak season, depending on daily volume and water source.
Moderate volume with a water softener or filter: Every 4 to 6 months, but still pull and inspect the element annually.
Low volume with RO or very soft water: Once or twice a year, but watch your output quality as the real indicator.
The element inspection matters as much as the descale interval. You can have a clean-looking boiler with a partially failed element. If your tech hasn’t pulled and looked at the element in a year, that’s worth scheduling.
When to Call a Pro
If descaling doesn’t resolve the pressure or steam output issue, something mechanical is wrong. Pressure stats, fill solenoids, and heating elements all have finite lifespans, and diagnosing them correctly takes a meter and some familiarity with the specific machine.
Diagnostics can take up to a week; most repairs run 3–4 weeks. That is exactly why we recommend preventive maintenance: a maintained machine does not sit in a repair queue for a month.
