A preventive maintenance checklist for a commercial espresso machine typically covers four areas: water system, group heads, steam and hot water circuits, and the grinder if it’s paired. How often? Daily tasks fall on your baristas. Weekly and monthly tasks are also staff-level. Quarterly and annual work is where a tech earns their keep.
Here’s what that actually looks like in practice.
Daily Tasks (Barista Level)
These take maybe ten minutes total and prevent the majority of breakdowns.
Backflush the group heads. On E61 groups and most volumetric machines, a blind filter and a small amount of espresso machine cleaner (Cafiza or equivalent) run through the group removes coffee oils that build up in the dispersion screen and shower head. Skip this for a week and you’ll taste it. Skip it for a month and you’ll start seeing slow extractions and channeling.
Wipe and purge the steam wands. Every single time after steaming milk. The tip clogs fast, and dried milk in the wand is a service call waiting to happen.
Check the drip tray and drain. A slow drain is usually a partial blockage in the drain line. Easy to clear early, annoying if it backs up into the machine base.
Flush groups before first shot of the day. Stale water sitting in the group overnight pulls heat from your first few shots. Ten seconds of flush water fixes it.
Weekly Tasks
Clean the group head gaskets and shower screens. Remove the screen (usually one or two screws) and soak it in cleaning solution. Inspect the rubber group gasket for cracking or deformation. A worn gasket causes the portafilter to feel loose or leak during extraction.
Descale check. You’re not necessarily descaling every week, but you should check your softener and look at the inside of your drip tray for white mineral deposits. Bay Area water hardness varies significantly by city and season. San Jose water, for example, runs much harder than East Bay municipal supply. If you’re on municipal water without a softener, you’re descaling more often than you think.
Check water level in reservoir machines. Obvious, but running a pump dry can damage it.
Monthly Tasks
Inspect and replace shower screens if worn. These are cheap and have a bigger impact on shot quality than most people realize.
Check steam pressure and boiler pressure gauges. A commercial machine should hold consistent pressure within a narrow band. If the needle is wandering or the machine is cycling on and off the heating element more than usual, that’s worth noting and potentially flagging for a tech.
Clean the inside of the portafilters and baskets. Soak in cleaning solution. A pitted basket affects dose consistency.
What a Tech Checks on a Quarterly or Annual Visit
This is where it gets beyond staff-level work. Here’s what I’m looking at when I open up a machine.
Boiler internals. Scale buildup on heating elements reduces efficiency and shortens element life. On a well-used machine in a hard water area, you can get meaningful scale in six months. I’ll check and descale the boiler if needed, or flag it if it’s at the point where an element is at risk.
Solenoid valves. These control water flow to the groups. They stick, they drip, they fail. A leaking solenoid can show up as water dribbling from the group between shots, or as inconsistent shot volume. Replacing a solenoid is straightforward; a failed one that goes unnoticed can mask other flow issues.
Pump pressure. Dial gauges drift. I’ll put a calibrated gauge on and verify the pump is actually delivering the right pressure at the group head (industry standard is around 9 bar). Over-pressured machines are as problematic as under-pressured ones.
Flow restrictors and gicleurs. These small fittings control water distribution. They clog with scale and debris. A partially blocked restrictor means one group behaves differently from another.
Steam boiler safety valve. Required to function and discharge at its rated pressure. If it’s weeping constantly, it’s either worn out or the boiler pressure is running too high.
All external fittings and connections for weeps. A small drip at a fitting behind the panel can become a puddle inside the machine over months. I’ll tighten or re-tape anything that’s showing moisture.
Grinder burrs. If the grinder is mine to service, I’ll check burr wear. Dull burrs mean you’re dosing more to hit the same extraction. How often burrs need replacing depends on the burr material, grinder model, and your volume, so I check condition at each visit rather than going by a fixed calendar.
DIY-Safe vs. Not
Safe for trained barista staff: backflushing, cleaning shower screens, replacing portafilter gaskets, descaling with tablet or powder on machines with a guided descale cycle, cleaning steam wands.
Not safe without training: opening the boiler, adjusting the OPV (over-pressure valve), replacing solenoid valves, working on anything involving mains voltage inside the machine. These aren’t impossible jobs, but a mistake costs more than a service call.
One thing I tell cafe owners: the most expensive repairs I see are almost always on machines that skipped the basics for six months. The economics of a service agreement typically pay for themselves in avoided emergency calls and parts that failed because something upstream was ignored.
When to Call a Tech
If you’re seeing any of these, don’t wait: inconsistent shot volume across groups, unusual noises from the pump, the machine not reaching or holding temperature, steam pressure dropping mid-service, or any visible water inside the machine base.
