Water records are most useful when they describe the actual café, the actual machine, and the actual treatment setup. A note that says “water good” cannot show when a filter was changed, how the source changed, or why scale appeared after a bench service. Build a record that an operator, manager, and technician can read without guessing.
This is a documentation guide, not a universal water standard. Espresso machines and buildings differ. Use the current manufacturer instructions, the treatment provider’s documentation, and qualified technical advice for any specification or change.
Identify the machine and water path
Give each espresso machine an asset name or tag. Record the brand, model, serial number when available, location, plumbed or reservoir arrangement, and the water source that feeds it. If a café has several machines, do not assume that one filter or one service record applies to all of them.
Note the visible route from supply or reservoir to the machine, filter, softener, treatment device, and drain when that route can be observed safely. Do not disconnect a hose or move a plumbed machine to trace it. The coffee service hub explains the service context but cannot verify a site-specific water path.
Record the treatment equipment
List each filter, cartridge, softener, scale-control device, or other treatment component by the identity shown on its label. Record installation date, replacement date, service provider, and any change in the treatment configuration. If the label is missing, write that it is unknown instead of inventing a model.
Add the person responsible for the next inspection or replacement. A record without ownership becomes a calendar note that no one trusts. Keep a photo of the label and the connection area when safe, without opening a cabinet or reaching near energized equipment.
Do not treat a filter change as proof that the espresso machine is protected. A cartridge can be the wrong match, installed incorrectly, exhausted, bypassed, or part of a larger water condition.
Keep observations separate from measurements
Record visible scale, cloudy water, changing flow, a new taste or odor report, leaking connection, unusual boiler recovery, or a change in steam behavior as observations. If the café uses a test or measurement, record the method, date, location, result, and the guidance used to interpret it.
Do not copy a target value from an unrelated machine. A number without the correct method and equipment context can create false confidence. If a test result changes, preserve the original and the new result rather than replacing one with the other.
Track cleaning and descaling
Record the date, function, product named by the manufacturer or site procedure, person responsible, and any abnormal result. Note whether the task was a normal operator cleaning or a deeper service procedure. Do not open the boiler, loosen fittings, or introduce a chemical into a path that the manufacturer’s instructions do not cover.
If the machine behaves differently after cleaning, write down the first cycle, display message, leak, sound, or water change. A new symptom after cleaning deserves a clear timeline. It does not automatically prove that the cleaning caused a specific valve, seal, pump, or control fault.

Record scale and flow trends
Scale can appear on visible surfaces, in a drain or tray, or as a change in flow and heat behavior. Record where it is seen and when. Do not scrape an internal surface, remove a boiler cover, or use a tool to investigate a water path.
For a slow fill, changing hot-water flow, or unstable steam behavior, capture the machine state, cycle, water source, filter status, and recent service. These records help a technician compare water conditions with pump, valve, heater, sensor, and control tests. They do not diagnose the part remotely.
Include building and operating changes
Note a water interruption, plumbing work, new treatment device, moved machine, construction dust, change in cleaning product, or change in operating schedule. A building change can affect several machines, while a single-machine symptom may point to a local condition. Keep those possibilities open.
Do not promise that records prevent every boiler or pump fault. They help show when a pattern changed and give the service team a better starting point.
Build the service handoff
Use the locations hub for service-area context. Send the asset tag, model, water path, treatment record, latest filter entry, cleaning and scale notes, symptom timing, display message, access conditions, and photos taken safely.
Commercial articles must not promise uptime, response time, food-code compliance, or restoration time without a current source. The record should state what is known and what still needs testing.
The service facts are: deposits are $150 for standard brands, $175 for Jura and Miele super-automatics and home La Marzocco machines, and $250–550 for commercial La Marzocco equipment. Deposits include pickup, bench diagnosis, and return and are not credited toward repair. Extra bench time is $150 per hour for standard brands and $175 per hour for Jura, Miele, and La Marzocco. A written estimate comes after diagnosis and before repair work. Coffee repair coverage is 6 months on parts and 90 days on consumables. Diagnostics can take up to a week; most repairs run 3–4 weeks. Review the record at each handoff
When a manager, treatment provider, or technician takes over, show the previous water source, filter, cleaning, scale, and symptom entries rather than summarizing them as “water issue.” Ask the next person to identify what is being observed, measured, changed, or left for later. Keep the original date and method when a new result is added.
If several machines share a treatment system, note the site-wide change and each machine’s separate response. If only one machine changes, keep that distinction. A shared log is useful only when it preserves the asset boundary and does not turn a site observation into a universal conclusion.
